The Group Housing Manager assists the sales, events, and front desk/reservations teams by accurately and efficiently managing all group guestroom blocks and overseeing rooms/suite inventory for the hotel to maximize profitability. This position involves working directly with clients for housing needs and supporting guests with group reservation inquiries.
Core responsibilities:
- Create reservation links.
- Upload rooming lists.
- Manage all requested reservations.
- Create packages and collaborate with accounting to ensure a proper breakdown.
- Confirm payment methods.
- Route charges appropriately.
- Manage cutoff reservations on cutoff dates and communicate with clients.
- Update the check-in system (CI) with earned comps.
- Manage group restrictions in MARSHA blocks, as necessary.
- Click "Pickup" 90 days out for T1/Definite Groups.
- Actualize group blocks in CI and confirm completion with DOSM/DVP before month-end.
- Run CI room block audits and OY Forecast Book reports once or twice a week for the Pickup Block Meeting with Sales.
- Host a weekly pickup/scrub meeting with the Sales and Events team.
- Work with DOSM to maintain group projections for each event.
- Run CI DQI Audit Reports in the second and fourth weeks of the month.
- Process CTAC weekly.
- Handle all FIT reservations.
- Prepare weekly forecasts for use by operations.
- Maintain a monthly crew manifest and one yield projections for the contract's next 72 hours.
- Balance the house between PMS and MARSHA systems.
- Clean Qs in MARSHA and the exception file in PMS.
- Create new rate codes as needed.
- Maintain clean mini hotels for the next 21 days by reviewing blocks at least three times a day: first thing in the morning, midday, and in the afternoon.
- Respond to all requests within 24 hours.
- Enter all rooming lists within 24 hours and track via quote activities.
- Build new mini hotels within 24 hours and track via quote activities.
- Answer the Sales & Events line within three rings and contact clients with the correct manager for assistance.
- Block VIPs and prepare amenity forms.
- Provide professional hospitality to all guests at all times.
- Assist in sales efforts by qualifying and, when appropriate, booking business from pop-up inquiries.
- Assist the events/sales team with collecting room lists for groups and ensure cutoff dates are maintained for all upcoming groups.
- Ensure Sales & Events office supplies are ordered as needed.
- Create sales files and introduce clients to the hotel's event service team.
- Complete the sales and events turnover process.
- Perform additional duties as required.

The Salary for this position ranges from $68,640 to $72,000 depending on experience and qualifications.
Education and Experience: High school education. 2-3 years experience in the hospitality industry and knowledge of common industry terms and practices preferred.
Must have experience using either Marriott or Sheraton systems.
Skills and Abilities: Ability to understand and provide friendly guest service.
Ability to correctly sell and process reservations, changes, and cancellations in compliance with policies and procedures, brand standards, and federal, state and local regulations.
Ability to type 50 or more words per minute along with Microsoft Office fluency - Word, Excel, PowerPoint.
Ability to maintain confidentiality with tact, diplomacy, and discretion.
Ability to timely compile facts/figures, identify and investigate issues and resolve matters.
Ability to follow an appropriate course of action based on management's direction and Company policies and procedures.
Ability to operate a computer, calculator, phone and other office equipment.
