Responsibilities
• Organize & Manage Matters: Maintain files, docket events, and ensure smooth case flow.
• Draft, Prepare, & Review Documents: Prepare trusts, wills, and estate planning documents with precision for attorney review.
• Support Clients: Communicate updates, gather information, and assist clients with form completion.
• Document & Case Support: Prepare affidavits, pleadings, subpoenas, deposition notices, legal briefs, and correspondence under attorney supervision.
• Administrative Support: Assist with e-filing, phone coverage, scheduling, and notarizing documents.
• Team Collaboration: Participate in weekly case management meetings and contribute to a supportive, team-oriented culture.
• Arrange law office activity such as drafting subpoenas and coordinating with process servers
• Assist lawyers in preparing legal documentation, pleadings, and correspondence including correspondence such as interrogatories, subpoenas, deposition notices, complaints, pretrial orders, legal briefs, and affidavits
• Help lawyers prepare for trial by preparing and organizing exhibits, assisting with client meetings, filing motions, conducting research on legal articles, and organizing and coordinating witnesses
• Perform administrative duties such as answering phone calls and keeping our case filing system organized so all documents are readily accessible
• Gather information about legal issues from the client in interviews
Qualifications
• Most Important: 2-5 years of Florida Estate Planning experience, including trust drafting, is non-negotiable. Candidates without this experience will not be considered.
• Strong preference for candidates with advanced paralegal education or certification.
• Excellent oral and written communication skills.
• Bilingual (English/Spanish) preferred but not required.
• Strong time management and organizational skills.
• Proficiency with WealthCounsel and/or Westlaw Form Builder (or similar document-building software).
• Experience with Clio Manage (or similar case management software).
• Proficiency with Google Workspace (Gmail, Drive, Calendar) preferred.
• Typing speed: 50-100 WPM required.
• Excellent organizational skills, and time-management skills
• Candidates who have completed a paralegal professional certification or have advanced paralegal education will receive preference
• 3+ years of legal service experience under an attorney or lawyer in a law firm setting
• Strong oral and written communication skills
• ABA-approved paralegal certificate program such as an Associate's degree or proprietary school program in paralegal studies, Bachelor's degree desired
